Appointment Reminders

Our Appointment Scheduler can send out customizable cell phone text messages (also called SMS reminders) to patients, so that they come in on time.

Text messaging isn’t just for the under-65 crowd anymore. Baby boomers (soon to become the Medicare population) are text-messaging fanatics. And older Americans already on Medicare are embracing cell phones at an increasing rate.

Does your staff spend time calling patients to remind them of appointments? Your time is very valuable, which is why you keep to a strict schedule — any minute that you spend that isn’t with a patient is a dollar you do not earn. Unfortunately, sometimes your patients — who also lead very busy lives — forget about their appointments, which costs you revenue, causes disruptions in your schedule, and hurts their healhcare.

Appointment Reminder lets you send those reminders automatically: just schedule the appointment in the Apex Appointment Scheduler, and we’ll send them text message reminders (via SMS) automatically. Set it and forget it. There is no special software to install and no hardware to buy: all you need is the computer you’re using to read this right now. Better yet, your patient's can respond and their confirmation is shown in the Apex Appointment Scheduler.

The Apex appointment Scheduler lets you make and change appointments, view and print a schedule for each provider and/or site and track appointment dispositions and history. All functions are accessed through the Schedule Main Screen, or appointment grid. The differing background color of each appointment is determined by the Appointment Type assigned to each. Appointments can also be synchronized with your smartphone.

Below is a sample of the Daily View window with several appointments. You can view all appointments within one Room (Site). Click on as many providers as you wish to view.

To modify an appointment, you can click on an existing appointment in the grid. In addition, you can select an appointment from the Daily View screen. The window below will appear.

The user can print a report of appointments for a range of dates. In addition, you can select one or all of the following other criteria: Disposition, Provider and Room (Site).

When you click OK, the Crystal Report Viewer will appear with the appointment schedule. From here, the user can view any page of the report, zoom in or out, find any text and send the report to a printer.

Automatic Payment Posting

The Electronic Remittance Advice (ERA) program is designed to process payment information from an ANSI 835 file. The Electronic Remittance Advice Screen allows you to check off the paper checks received and posted each day against those that have been submitted. Information about checks received for each date is then used to update the patient’s ledger and the daysheet for the posting date.

The Daysheet function lets you view the end-of-day and end-of-month processing information, including details of all posted charges, payments and adjustments.

From the main screen, the Patient button will take you to the Patient Search Screen, shown below. You may also access the Patient Search by pressing the F1 (Help) key from the Patient Name field on any of the other AMPM system screens, including Posting, Ledger, and Payments.

From the Patient Search Screen you may add a new patient, change the patient information for an existing patient, remove a patient record, or you may go to the Posting or Ledger Screen for that patient.

Adding a new patient's information is very easy with the AMPM system. The Patient Information Screen, shown below, captures all of the patient information that is required on insurance claim forms, as well as information you need for your practice.

From the Patient Information Screen, you may go to other screens that let you enter insurance information, additional patient information, and medical history.

For optometric practices, you may also enter eyecare information for your patients, described under Eyecare Features.

The Posting function is designed to capture all information about charges that is required for an insurance claim. Claims may then be sent electronically through the EMC function or printed as paper claims.

From the Posting Screen, you may search the diagnosis and charge files to find the desired codes. You may also reload existing claims in order to resubmit or reprint them.

After posting claims, go to the EMC function for electronic claim submission.

Each patient's account information is kept on the Ledger for that patient, which you may access either from the main screen or the patient search screen. The Ledger will list all charges, payments and adjustments for the patient. From this screen you may print a statement for the patient and view detailed information about each ledger item, as well as enter patient payments.

The EMC function transmits claims electronically with the click of a button. As claims are posted at the Posting Screen, they are sent to the electronic claims submission queue to await transmission. (Claims that are not billed electronically may be printed.)

The AMPM system processes secondary insurance claims automatically through the Secondaries feature. After payment has been posted from the primary insurance carriers, paper claims may be printed for the secondary carriers. When you click on Secondaries, you will see a list of all claims that are ready to be billed to the secondary carrier.

The AMPM Payments feature allows you to post single payments, split payments and batch payments as they are received from the insurance companies.

The Batch Payment feature lets you post payments for multiple patients and charges from a single EOB report.

The AMPM system provides a large number of reports that will help you manage your office, including everything from patient recall letters to accounts receivable information. Some of the most often requested reports are described below:

The Overdue Charges Report lists all posted patient charges that are still unpaid, helping you monitor your collections.
The Accounts Receivable Age Analysis Report and the Accounts Receivable Age Analysis Summary Report help you to keep track of unpaid patient accounts by the aging categories. This information can be incorporated into patient statements as well.
The Claim Status Report lists all claims created within a specified date range, showing the dates on which they were posted, transmitted electronically, and printed.
The Recall Report generates a list of patients to be recalled within a specified date range, as well as mailing labels, recall letters, or recall postcards.

Optional Features for Optometric Practices

For optometrists and ophthalmologists who also sell glasses and contacts, AMPM provides customized screens that capture the prescription and frames information necessary for billing Medicare and other insurance carriers.

You may enter the patient's refractive information in the Vision Record Screen, shown below:

AMPM also has individualized screens for capturing glasses, hard contact lens, soft contact lens, and intra-ocular lens prescriptions. The Glasses Prescription Screen is shown below. You may enter the prescription, lens and frame information for up to four pairs of glasses.

The Apex Medical Practice Manager (AMPM) for Windows is the easiest way to manage your medical practice effectively. Our attractively designed, Windows-driven screens let you post charges and submit Medicare and private insurance claims with the click of a button. AMPM gives you all the power and flexibility of the Windows operating system. In fact, AMPM was the first Windows-based medical practice management software on the market, thus the longest in use in actual medical practices. All functions are accessed through the AMPM Main Screen, or Access Panel, shown below:

Each button on the Access Panel will take you to a different section of the program for entering data for patients, claims, payments, and so on. Patients is designed to capture all required information for each patient. This includes the patient's name and address, insurance carriers, medical history, recall date, and other information. From the patient search, you can go directly to the Posting function or the patient's Ledger.

The Posting function lets you post charges and generate an insurance claim. Once claims have been posted, they can then be transmitted electronically with the EMC function.

The Payments function lets you post all payments, including batch payments, which may be checked against the Medicare EOB report. Once payment has been posted from the primary insurance provider, the AMPM system automatically processes secondary claims with the Secondaries function.

The Daysheet function lets you view end-of-day and end-of-month accounting information. It lists all charges, payments and adjustments that were posted for the day. The AMPM system Reports will also assist you in maintaining your office business operations.
